ZoningLogic ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services (collectively, the "Service").

This Privacy Policy is designed to comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation in Canada, including Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), the Personal Information Protection Act (PIPA) in British Columbia, and the Personal Information Protection Act (PIPA) in Alberta, where applicable.

By using our Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use our Service.

Information We Collect

We collect information that you provide directly to us and information that is automatically collected when you use our Service.

Information You Provide

  • •Account Information: Name, email address, company name, and any other information you provide when creating an account or requesting early access. Purpose: to create and manage your account, communicate with you, and provide the Service.
  • •Property Information:Addresses, property details, parcel identifiers, and zoning analysis data you input into the Service. Purpose: to perform zoning analysis and generate feasibility reports as requested by you.
  • •Communication Data:Messages, feedback, support requests, and any other communications you send to us. Purpose: to respond to your inquiries and improve our Service.
  • •Payment Information:Currently, ZoningLogic is free during the beta phase. When we introduce paid plans in the future, we will collect billing information through secure payment processors. We will not store full credit card details and will use industry-standard payment processing services.

Automatically Collected Information

  • •Usage Data: Information about how you access and use the Service, including pages visited, features used, and time spent on the Service.
  • •Device Information:IP address, browser type, operating system, device identifiers, and other technical information.
  • •Location Data: General location information derived from your IP address or provided by you when using location-based features.
  • •Cookies and Tracking Technologies:We use cookies, web beacons, and similar technologies to collect information about your interactions with our Service.

How We Use Your Information

We use the information we collect for various purposes to provide, maintain, and improve our Service.

AI and Automated Processing

Transparency about how our AI systems process your data.

Our Service uses artificial intelligence, including large language models (LLMs) and a multi-agent orchestration workflow, to analyze zoning regulations and generate feasibility reports. It is important that you understand how your data interacts with these systems:

How Your Data is Processed by AI

  • •When you submit a property address or analysis request, your input data (addresses, property details, parcel identifiers) is sent to our AI analysis pipeline for processing.
  • •Our AI agents cross-reference your input with publicly available zoning bylaws, property records, and regulatory databases to generate analysis results and feasibility reports.
  • •AI outputs are probabilistic in nature, meaning they are generated based on statistical patterns rather than deterministic logic. Results may contain inaccuracies or errors. See our Legal Disclaimer for more details.

Your Data is NOT Used for AI Training

Your personal information, property data, and analysis inputs are never used to train, fine-tune, or improve any AI or machine learning models. Your data is processed solely to provide you with the analysis and reports you request. We use commercially available AI models through their API services, and your data is not retained by those third-party AI providers for model training purposes.

Third-Party AI Service Providers

We use third-party AI model providers (such as OpenAI) to power our analysis capabilities. When your data is processed by these providers:

  • •Data is transmitted securely via encrypted connections
  • •We use API configurations that opt out of model training on your data
  • •Providers are contractually obligated to process data only as instructed and to maintain appropriate security measures
  • •Some providers may temporarily retain input/output data for abuse monitoring and safety, as disclosed in their privacy policies

No Automated Decision-Making About You

Our AI system does not make decisions about you or your rights. All AI outputs are informational tools provided to you for your own use and decision-making. The Service does not use automated processing to make decisions that produce legal effects concerning you or that similarly significantly affect you.

Information Sharing and Disclosure

We do not sell your personal information. We may share your information only in the following circumstances:

Service Providers

We may share information with third-party service providers who perform services on our behalf. These include:

  • • Cloud hosting and infrastructure providers
  • • AI model providers (for analysis processing)
  • • Analytics services
  • • Payment processors (when paid plans are introduced)
  • • Customer support tools

These providers are contractually obligated to protect your information and use it only for the purposes we specify.

Legal Requirements

We may disclose your information if required by law, court order, or government regulation, or if we believe disclosure is necessary to protect our rights, property, or safety, or that of our users or others.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity, subject to the same privacy protections described in this policy. We will notify you before your personal information is transferred and becomes subject to a different privacy policy.

With Your Consent

We may share your information with your explicit consent or at your direction.

Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected.

  • •Account Data: Retained for as long as your account is active. Upon account deletion, your account data will be deleted or anonymized within 90 days, unless retention is required by law.
  • •Analysis Data: Property analysis results and feasibility reports are retained while your account is active to provide you with access to your analysis history. This data is deleted when you delete your account.
  • •Communication Data: Support requests and contact form submissions are retained for up to 24 months after the matter is resolved.
  • •Usage and Analytics Data: Aggregated and anonymized usage data may be retained indefinitely for product improvement purposes. Identifiable usage data is retained for up to 24 months.
  • •Legal Obligations: We may retain certain information for longer periods where required by law, regulation, or legitimate business purposes (e.g., tax records, fraud prevention, dispute resolution).

Data Security

We implement industry-standard security measures to protect your information.

We use administrative, technical, and physical safeguards to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • • Industry best practices for data protection
  • • Regular security assessments and updates
  • • Access controls and authentication mechanisms
  • • Secure data centers and infrastructure
  • • Encryption of data in transit

Important: While we strive to protect your information using industry best practices, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to maintaining appropriate standards of data protection and to promptly addressing any security incidents.

Breach Notification

In the event of a data breach involving your personal information that creates a real risk of significant harm, we will:

  • • Notify the Office of the Privacy Commissioner of Canada as required by PIPEDA
  • • Notify the Commission d'accès à l'information du Québec (CAI) if the breach involves Quebec residents, as required by Law 25
  • • Notify affected individuals as soon as feasible, describing the nature of the breach, the personal information involved, steps we are taking, and steps the individual can take to reduce the risk of harm
  • • Maintain records of all breaches of security safeguards as required by law

"Significant harm" includes bodily harm, humiliation, damage to reputation or relationships, loss of employment or business opportunities, financial loss, identity theft, negative effects on credit records, and damage to or loss of property.

Your Privacy Rights

Under Canadian privacy laws, including PIPEDA and applicable provincial legislation, you have certain rights regarding your personal information.

Under Canadian privacy legislation, you have the right to:

  • • Access: Request access to your personal information that we hold
  • • Correction: Request correction of inaccurate, incomplete, or outdated information
  • • Withdrawal of Consent: Withdraw your consent to our collection, use, or disclosure of your personal information, subject to legal or contractual restrictions
  • • Deletion: Request deletion of your personal information, subject to legal retention requirements
  • • Complaint: File a complaint with the Privacy Commissioner of Canada or your provincial privacy commissioner if you believe we have violated your privacy rights
  • • Information: Be informed about why we collect, use, and disclose your personal information

To exercise these rights, please contact our Privacy Officer at privacy@zoninglogic.com. We will respond to your request within 30 days, as required by Canadian privacy legislation, or inform you if we require additional time.

For Quebec Residents (Law 25)

Additional rights under Quebec's Act respecting the protection of personal information in the private sector.

If you are a resident of Quebec, you have additional rights under Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), including:

  • • Right to Information About Automated Processing: The right to be informed of any automated decision-making that may affect you, and to request that a human review any decision made exclusively by automated means
  • • Right to Data Portability: The right to receive your personal information in a structured, commonly used technological format
  • • Right to De-indexation: The right to request that hyperlinks to your personal information be de-indexed from search results, where applicable
  • • Right to Be Informed: The right to be informed at the time of collection of the purposes for which your personal information is collected, the means by which it is collected, your rights of access and rectification, and your right to withdraw consent

AI and Automated Processing: Our AI analysis system processes property and zoning data using automated means. However, we do not make decisions about you or your rights exclusively through automated processing. Our AI outputs are informational tools provided to you for your own use and decision-making.

Commercial Electronic Messages (CASL)

Our compliance with Canada's Anti-Spam Legislation.

We comply with Canada's Anti-Spam Legislation (CASL). We will only send you commercial electronic messages (such as marketing emails, newsletters, and promotional communications) with your express consent.

Your Rights Under CASL

  • • You may withdraw your consent to receive commercial electronic messages at any time by using the unsubscribe mechanism in any of our messages or by contacting us at hello@zoninglogic.com
  • • We will process your unsubscribe request within 10 business days
  • • We document and retain records of consent as required by CASL

Transactional Messages

Transactional messages related to your account or use of the Service (such as service notifications, security alerts, account updates, and analysis completion notifications) are not considered commercial electronic messages under CASL and may be sent without separate marketing consent.

Cookies and Tracking Technologies

We use cookies and similar tracking technologies to track activity on our Service and store certain information. Cookies are small data files stored on your device.

You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.

We use both session cookies (which expire when you close your browser) and persistent cookies (which remain on your device until deleted or expired).

Children's Privacy

Our Service is not intended for individuals under the age of 18 (or under 14 in Quebec, where parental consent would be required under Law 25). We do not knowingly collect personal information from children. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately, and we will delete such information.

International Data Transfers

Your information is primarily stored and processed in Canada. However, we may transfer your information to and process it in countries other than Canada, including the United States, where our service providers (including AI model providers and cloud infrastructure) may be located. These countries may have data protection laws that differ from those in Canada.

When we transfer personal information outside of Canada, we take appropriate safeguards to ensure your information receives an adequate level of protection in accordance with PIPEDA and this Privacy Policy. This may include contractual protections, ensuring the recipient is subject to similar privacy laws, or obtaining your explicit consent where required.

By using our Service, you consent to the transfer of your information to these countries for the purposes described in this Privacy Policy.

For Visitors from the European Economic Area (EEA)

If you are located in the European Economic Area (EEA), we process your personal data in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR). Our lawful basis for processing your personal data depends on the type of data and the context in which we collect it:

  • • Contract Performance: Where processing is necessary to provide you with the Service you requested
